Terms of Service

These Terms govern your use of FieldBrief, operated by Rocky River Software, LLC (“FieldBrief,” “we”). By creating an account you agree to these Terms.

1. Your account

You must be at least 18 and authorized to enter into this agreement on behalf of your organization. You are responsible for activity that occurs under your account and for keeping your credentials secure.

2. Your content

You retain ownership of the audio, photos, project information, and reports you upload or generate (“Your Content”). You grant FieldBrief a limited license to host, process, transcribe, structure, and deliver Your Content solely for the purpose of operating the service for you.

You are responsible for ensuring you have the right to record audio and capture photos on the sites where you use FieldBrief, and for compliance with local notice and consent laws.

3. Acceptable use

You agree not to:

  • Upload content you do not have rights to record or distribute.
  • Use the service to send unsolicited bulk email or to harass anyone.
  • Probe, scan, or attempt to compromise the security of the service.
  • Resell, sublicense, or operate a competing service on top of FieldBrief.

4. Subscription & billing

Paid plans are billed monthly via Stripe at the price displayed at signup. The Team plan requires a minimum of 5 seats. Subscriptions renew automatically until cancelled. You can cancel at any time in the Stripe customer portal; cancellation takes effect at the end of the current billing period. We do not provide refunds for partial periods.

Free trials last 14 days. If you do not upgrade by the end of the trial, walk capture is paused until you start a paid plan. Your data is retained per the Privacy Policy.

5. AI output

FieldBrief uses AI to transcribe and structure your walks. AI can and will make mistakes — including miscategorizing items, mishearing speech, and incorrectly assigning subcontractors or audiences. You are responsible for reviewing all output before sending it to subcontractors or relying on it for project decisions. FieldBrief is a productivity tool, not a substitute for your professional judgment.

6. Service availability

We aim for high availability but do not guarantee uptime. Scheduled maintenance and unscheduled outages may occur. We are not liable for delays in walk processing or email delivery.

7. Termination

You can delete your account at any time. We may suspend or terminate accounts that violate these Terms or that pose a security or legal risk to the service.

8. Disclaimer of warranties

The service is provided “as is” without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

9. Limitation of liability

To the maximum extent permitted by law, FieldBrief’s total liability arising from or related to the service is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect, incidental, consequential, special, or punitive damages.

10. Governing law

These Terms are governed by the laws of the State of Ohio, USA, excluding its conflict of laws rules. The courts located in Cuyahoga County, Ohio have exclusive jurisdiction.

11. Changes

We may update these Terms. Material changes will be announced by email to the account owner at least 30 days before they take effect. Continued use of the service after the effective date constitutes acceptance.
